Insurance For Your Event
Regardless of what type of event is being held, accidents can happen and an event insurance policy is essential for the protection of organizers and vendors alike.
INSURANACE FOR THE PERSON RENTING THE ROOSEVELT LIBRARY:
Roosevelt Library will purchase Event Liability Insurance on behalf of the person who is renting the Roosevelt Library. Sometimes this is included in the cost of the venue rental and other times it is charged separately as a line item on the Roosevelt Library invoice. This insurance policy protects the person renting the venue from claims made against them due to injury to guests and damage to the venue. Event Liability Insurance is intended to protect the person who is renting the venue from having to pay out of their own pocket for most claims of injury or property damage due to their actions and the actions of their guests.
INSURANCE FOR THE VENDORS HIRED BY THE PERSON RENTING THE ROOSEVELT LIBRARY:
Since the rental agreement for the Roosevelt Library holds the person renting the venue responsible for the activity of vendors (service providers) that they hire, vendors are required to have their own General Liability or Event Liability Insurance in order to be at the event. Vendors are welcome to provide proof of their existing general liability policy naming "Roosevelt Library Social Club, Roosevelt Library Foundation, Stone Standard LLC”" as additional insured, with a waiver of subrogation, and on a primary and non-contributory basis, or they can easily purchase Event Liability Insurance for the event from Event Helper (https://www.theeventhelper.com/#d275t5). Event Helper will be able to provide a Certificate of Insurance (COI) listing the additional insured as “Roosevelt Library Social Club, Roosevelt Library Foundation, Stone Standard LLC,” include a Waiver of Subrogation, and provide coverage on a primary and non-contributory basis, all of which are required by the Roosevelt Library.
If a vendor (service provider) has “associates” that will be assisting the vendor at the Roosevelt Library, then the “associates” are usually classified as W-2 employees, 1099 independent contractors, or unpaid volunteers. W-2 employees of the vendor are covered by the vendor's policy.
1099 independent contractors are not covered under the policy of the vendor, but if they have the same insurable interest, they can potentially be listed individually on the COI. Volunteers and unpaid workers (even those that receive tips) are covered by the host’s policy and do not need a separate policy.
